Connect QuickBooks and import your customers, vendors, items and taxes
What this does
Section titled “What this does”If you already use QuickBooks Online, you don’t have to type your business in again. Connect your QuickBooks company and AysOps brings across your customers, vendors, items and services, tax rates and company details. You review everything before anything is added, so nothing is duplicated.
Before you start
Section titled “Before you start”- Turn on the QuickBooks Sync add-on. A new owner can also choose Bring my business across from QuickBooks in the setup checklist, which turns it on for you.
- Only owners and administrators can connect QuickBooks.
- You’ll sign in to your Intuit (QuickBooks) account.
1. Connect
Section titled “1. Connect”- Click QuickBooks in the left menu, under Add-ons. It says QuickBooks isn’t connected.
- Click Connect QuickBooks, sign in to Intuit and choose your company.
- You come back to AysOps with QuickBooks connected.

2. Preview the import
Section titled “2. Preview the import”On the Import tab, click Preview import. AysOps reads your QuickBooks company and sorts every record. Nothing is added to AysOps yet.
3. Review
Section titled “3. Review”The records are in three groups:
- Already in AysOps (green): will be linked, not duplicated.
- To be added (blue): nothing similar found; will be created.
- Need your input (amber): something similar exists but AysOps isn’t sure. Each row says why, with buttons Link to [record] (87%), Add as new or Skip.
Tax rates have their own box at the top. 🔴 Each new tax rate needs your registration number (for example your GST number) typed in; Apply stays blocked until every one has it.
4. Apply
Section titled “4. Apply”Click Apply. This is the moment customers, vendors, items and taxes are created or linked. Rows you left undecided stay in the queue for later.
Later: check for changes
Section titled “Later: check for changes”Click Check for changes any time to pull in anything new from QuickBooks. If there’s nothing, it says “Nothing new to import from QuickBooks.”
If a record linked in both systems has been changed on one side, it appears under These no longer match QuickBooks, showing the last synced value, the QuickBooks value and the AysOps value:
- Changed in QuickBooks: one click to accept their change.
- Needs your decision: changed on both sides; you choose.
- Changed here, not in QuickBooks: nothing is wrong, or choose Keep mine: stop showing this.
Nothing is ever overwritten silently.
If something goes wrong
Section titled “If something goes wrong”- Reconnect needed: Intuit’s connection expired. You also get an email and a to-do. Click Reconnect and sign in again.
- Apply is blocked: a new tax rate is missing its registration number.
